Give every bidder the same replacement brief
Begin with a one-page description of the existing setup and the reason for replacement. Ask what happens to the basin, float and check valve
Request a written keep, replace or inspect decision for the cover, visible basin condition, float or switch, pump support, check valve and service connections. NDSU Extension explains that return flow can cause unnecessary cycling and that the pump inlet and discharge should be checked for obstruction. Those principles justify inspection questions; they do not prove every replacement job needs every accessory replaced.
Ask the contractor to explain how the proposed arrangement preserves unobstructed control movement and future service access under the selected manual. For any retained part, record its condition and whether later failure falls outside the new-work warranty. If a sealed cover also serves a radon system, flag that before work begins and ask who will restore its original function. Treat another system's interface as a coordination item, not an invitation to modify it yourself.[1][3]
Trace the quoted discharge work to its endpoint
A quote that ends at the first pipe connection may leave the actual outlet unexamined. Ask which indoor and outdoor sections are inspected, retained, cleared or replaced. Request the contractor's findings about blockage, seasonal freezing concerns, water returning toward the house and the receiving drainage area. NDSU highlights discharge obstructions and routing away from the home; local rules determine which connection or destination is permitted.
Use a simple scope description: existing connection retained, interior pipe replaced, exterior route assessed, or underground investigation excluded. Do not accept 'new discharge' without its endpoints. If excavation or a concealed problem cannot be priced yet, record the investigation charge and the approval process for additional work. This gives you a meaningful comparison between a pump-only service call and a wider drainage repair without assuming either bid is incorrect.[1]
Separate electrical work, backup integration and alarms
Ask whether the existing power connection has been evaluated for the quoted pump and which electrical work is included or referred to a qualified electrician. The selected pump manual and local requirements govern the installation. Do not infer that a supplied cord includes an appropriate circuit, and do not treat an extension cord as an assumed permanent solution. Distinguish backup power for the primary pump from a separate backup pump. Public Safety Canada notes that equipment sharing the same power source can fail together during an outage. Turn commissioning into a visible handover item
Request a contractor-led operating demonstration after installation. The relevant manufacturer instructions should define the checks, including pump operation and the controls. Normalize exclusions and warranty terms before comparing totals
Copy every proposal into the same comparison table. Separate equipment, installation, electrical work, disposal, permits if applicable, discharge repair and optional backup work. Mark each line included, excluded, allowance or unresolved. Do not insert a guessed national labor rate to fill a missing line. Return the same clarification questions to each bidder and compare the revised scope on the same date.
Ask which entity covers the pump, who covers workmanship and whether labor, travel or removal is reimbursed during a claim. Choose the bid with the clearest completed-job definition

FAQ
Should every quote include a new check valve?
It should include an explicit assessment and a keep-or-replace decision. The existing condition, proposed configuration and selected manufacturer's instructions matter. An unexplained omission is a clarification request, not automatic proof that the entire bid is wrong.
Is a higher-horsepower replacement automatically better?
